Please include any details that you feel are important for us to best support your child while at camp   DiscoveryLand Camp Policies, Terms and Conditions: CANCELLATION POLICY -Covid-related shutdown: In the event of a Provincial or Municipal shutdown due to COVID-19 which will force us to close summer camps, all attendees will be offered A FULL refund for camp fees for the remaining days. -Cancellation and refunds: • Cancellation requests received before May 15 will get a full refund less an administration fee of $30 per child. • Cancellation requests received after May 15 and up to 1 day prior to the start of the registered week will get 50% of the cost of the program being cancelled less an administration fee of $30 per child. • Refunds will not be issued after the start of the program. Refunds are not granted for inclement weather. • Requests for refunds must be made in writing to the Camp Director. All approved refunds will be paid within 30 days after September 1, 2022. • Transfer to alternate sessions of the same camp season will depend on the availability of space and safety within each program. For the safety of all participants, campers are unable to switch cohorts or programs following the start of a session. BEHAVIOUR POLICY Parents/guardians must review the camp policy with the camper prior to the camp start date. We value the well-being and happiness of each camper and staff - inappropriate behaviour will not be tolerated. Campers removed from the camp due to behaviour issues will not be entitled to a refund. To protect the safe environment created and maintained at camp, we adhere to the 3-strike policy which will be reviewed on the first day of camp with the campers. Parents should also discuss appropriate behaviour with campers prior to camp start. The policy applies to all campers equally without exceptions. 3-strike policy: -Strike 1: Verbal Warning. A counsellor will take the camper aside and warn them that their behaviour is not acceptable. A follow-up to discuss the reason for the behaviour and how to avoid similar issues in the future. • Examples: disruption of activities, offensive language, etc. • This warning may be skipped if required due to the severity of camper behaviour. -Strike 2: Time out. The camper will be asked to sit out the activity. An incident form will be filled out and the parent/guardian will be notified. A consultation with the parent/guardian will be required to discuss the reason for the behaviour and how to avoid similar issues in the future. • Examples: Intentional safety risk to self and others, bullying, offensive language, destruction of property, etc. • This warning may be skipped if required due to the severity of camper behaviour. -Strike 3: Removal from camp for the rest of the day/week. The camper will be removed from the situation. An incident form will be filled out, parent/guardian will be notified and requested to pick the camper up within 1 hour. The camper will be supervised by a counsellor until pick up and asked to leave for the rest of the day/week depending on the severity of their behaviour. The situation will be discussed with the parent/guardian but the camp will have the final decision to protect the safety and well-being of every individual that might be at risk at camp. • Examples: Major intentional safety risks to self and others including (but not limited to) physical aggression, theft, continuous harmful behaviour from strike 1 & 2 categories, etc. SPECIAL NEEDS. The goal of DiscoveryLand camp is to provide a safe environment that will consider the well-being of every individual that sets foot in our camp. Please note that due to the physical distancing, safety guidelines set by the province, and our camper-to-staff ratio, we might not be able to provide the support necessary for certain special needs. If you aren’t sure or have any concerns, please contact us so we can discuss which option/accommodations might suit your situation. In order for us to best support your child and be able to provide a fun and safe experience for every camper, parents/guardians must disclose all camper needs/challenges in the registration forms. Failure to do so may result in the camper not receiving proper support and potentially ruining their and/or other campers’ experience. This might result in a request for the parent/guardian to come to pick up their child and their removal from the program in the worst-case scenario. Let’s work together to provide the best experience to all individuals involved. Campers with health and/or behavioural concerns may require additional supervision in order for them to safely remain at camp. If, in the opinion of the Director, a camper requires extra supervision, and it is reasonable and possible for the camp to provide this extra supervision, it is understood that this additional cost must be assumed by the Parents. REGISTRATIONS. Registrations cannot be confirmed unless accompanied by the required deposit or full payment of camp fees per child. Your child(ren) will only be permitted to start camp once fees are paid in full prior to the start of their camp session. DiscoveryLand Camp reserves the right to refuse any registration for any reason. PERSONAL BELONGING. Camp cannot be held responsible for lost, damaged or stolen belongings. PHOTO/VIDEO RELEASE. As the parent/guardian, I hereby consent to the use of my child(ren)’s photos, videos and name for publicity purposes by the Camp. VACCINATION POLICY. I agree that if my child(ren) is eligible or becomes eligible (please note that age eligibility can change at any time prior to Summer 2022) to be vaccinated against Covid-19, she/he will be fully vaccinated (per Health Canada requirements) at least 2 weeks (14 days) prior to the start of his/her camp session in Summer 2022 and I will provide proof of vaccination as required by DiscoveryLand Camp. If your child(ren) is eligible to be vaccinated but you choose to not have them vaccinated and/or do not provide proof of vaccination at least 2 weeks (14 day) prior to the start of his/her camp session, your child(ren)’s enrolment will be cancelled. Please note that the refund policy at the time of this cancellation will apply. SIGN UP FOR EMAILS. I agree to receive emails from DiscoveryLand Camp for informational and promotional purposes by registering my child(ren). I can unsubscribe at any time and request to have my information removed from the camp’s database. LATE PICK-UP FEES. I understand that pick-up time is at 4:00 pm for regular camp hours and at 5:00 pm for extended hours (at an extra cost). Campers who are picked up after the program closes will be charged a late pick-up fee of $10.00 in addition to a $1.00 per minute that the camper spends at camp after the program hours. I understand that these amounts have to be paid in cash to DiscoveryLand Camp’s staff present at the time of pick-up. PICK UP POLICY. I understand that any parent/guardian that will pick up my child must be added to the registration form. Camp staff responsible for supervising pick up will have the authority to request a government-issued ID to confirm that the person doing the pick up is on the list at any time. PRIVACY POLICY • Why Do We Collect Personal Information? DiscoveryLand Camp collects information about your family to provide the best and most appropriate care for your child. We use personal information to share updates with our families and clients about news and other events at Camp. We also use personal information for business analysis, and to provide statements of account to families when requested to do so. • Use, Disclosure, and Retention of Information. DiscoveryLand Camp only uses and discloses personal information in order to fulfill the identified purposes except when required by law. Only those staff members whose job functions or responsibilities require that information have access. DiscoveryLand Camp does not sell, lease, or barter personal information. DiscoveryLand Camp retains personal information as long as needed to fulfill the identified purposes or as required by law, whichever is longer. When the information is no longer required, the camp uses proper and reasonable methods of destroying information. • Keeping Information Accurate. It is important that your personal information is accurate and complete. Having accurate information about you enables us to give you the best possible service. We rely on you to keep us informed of any changes, such as a change of address, telephone number, the health of your child or any other circumstances – simply contact our office and inform them of the changes. • Cookies and Third-Party Tracking. WAIVERS AND AUTHORIZATIONS COVID-19. I will take actions to prevent the spread of COVID-19; I agree to adhere to physical distancing guidelines in effect in the Province of Ontario and Toronto Public Health Unit or as directed by DiscoveryLand Camp staff. I further recognize and understand that while DiscoveryLand Camp has implemented measures to reduce the spread of COVID-19, DiscoveryLand Camp cannot guarantee that my child will not become infected by COVID -19 while participating in DiscoveryLand Camp programs. MEDICAL AUTHORIZATION. I hereby authorize the administration of DiscoveryLand Camp to administer any first aid deemed necessary. In the event of an accident, injury or illness involving the registrant, should we not be immediately available for consultation, I hereby authorize and grant permission to DiscoveryLand Camp staff to secure the transportation of my child to a local doctor or hospital, for proper medical treatment and authorize on the registrant’s behalf all procedures, including, without limitation, admission to an emergency unit, hospital and treatment therein, ordering of x‐rays, tests or treatment, injections, anesthesia and/or surgery, as deemed necessary by the attending medical professional(s). I agree not to hold DiscoveryLand Camp responsible for any costs or injury arising out of an emergency situation. WAIVER AND RELEASE • In consideration of the DiscoveryLand Camp allowing me or my child to participate in DiscoveryLand Camp Programs, I hereby agree to waive any and all claims that I or my child have against the DiscoveryLand Camp and its employees and volunteers, (collectively “the Releasees”) and to release, indemnify and hold harmless the Releasees from any and all liability for any loss, damage, expense or injury (including, but not limited to, property damage or loss, death, physical and mental injury, disability, disease, virus, infection or any form of infectious/contagious/communicable disease) that I, my child or any third party may suffer arising from, or in relation to, my and my child’s attendance at the DiscoveryLand Camp, or use of the premises/equipment rented by DiscoveryLand Camp or participation in DiscoveryLand Camp activities, due to or arising from negligence, breach of contract, breach of any statutory duty or other duty of care, including any duty of care owed under the Occupiers Liability Act on the part of the Releasees or failure to protect me and my child from the inherent or latent dangers of participating in the DiscoveryLand Camp programs, provided that the Releasees shall not be released from any liability due to or arising from the gross negligence, intentional torts or recklessness of any of the Releasees. • If any provision herein is determined by a court of competent jurisdiction to be invalid, illegal or unenforceable in any respect, such determination shall not impair or affect the validity, legality or enforceability of the remaining provisions hereof, and each provision is hereby declared to be separate, severable and distinct. For greater certainty, any decision or declaration that one or more of the provisions are null and void shall have no effect on the remaining provisions of this Agreement, which shall remain in force. • I authorize that my child participates in all activities of DiscoveryLand Camp including trips to parks, splash pads, tennis courts, nature reserves and local amenities. I further give consent to transport my child in a motor vehicle driven by the individual identified by DiscoveryLand Camp in order to allow him/her to participate in an off-site camp event, if needed. I confirm that my child is capable of participating safely in the full program including all activities unless I advise the camp otherwise in writing and I acknowledge that such participation involves risks and hazards incidental thereto all of which are assumed by me.
